Who we are

LineKeeper is a UK-based service providing AI phone receptionist solutions. You can contact us at hello@linekeeper.ai.

What data we collect

When you sign up or get in touch with us, we collect:

  • Your name and business name
  • Email address and phone number
  • Your industry
  • Any message you choose to include

When you use the service, we also process call-related data such as call recordings metadata (where enabled), transcripts, summaries, appointment details, and information callers provide during a call.

We also collect anonymous analytics data (page views, button clicks) using privacy-friendly analytics that does not use cookies or track you across sites.

Google user data

If you connect Google Calendar, we access Google Calendar data via Google's OAuth APIs solely to provide appointment booking in our service. Depending on the scopes you grant, this may include reading free/busy and calendar event information and creating, updating, or cancelling calendar events on your behalf.

We do not use Google user data for advertising, sell it, or allow independent use by others. Google Calendar access tokens and refresh tokens are stored securely per tenant and used only to perform calendar actions you have enabled.

Google Limited Use compliance

The use of raw or derived user data received from Google Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

In particular, LineKeeper does not use Google Workspace or Photos API user data — including raw, aggregated, or derived data — to create, train, or improve foundational or generalized machine learning or artificial intelligence models. Where Google-derived calendar information is processed by third-party AI providers to power live call handling (for example, offering available appointment slots), those providers are configured under terms and settings that prohibit use of that data for their model training.

How we use your data

  • To respond to your enquiry and set up your account
  • To operate the AI phone receptionist and related features
  • To check availability and book, reschedule, or cancel appointments in a connected calendar
  • To communicate with you about our services
  • To improve our website (via anonymous, aggregated analytics)

We will never sell your data to third parties. We only share data with processors necessary to deliver our service (for example telephony, speech-to-text, language model, text-to-speech, email delivery, and calendar booking).

AI and third-party processors

To answer calls and book appointments, we use the following third-party AI services. They process data only to provide the service to you; we configure them so customer content is not used to train their generalized models:

  • Azure OpenAI (Microsoft), Sweden Central (EU) — language model for the voice agent; customer prompts and completions are not used to train foundation models under Microsoft's Azure OpenAI data privacy commitments
  • Deepgram (EU) — speech-to-text; requests opt out of Deepgram's Model Improvement Program (`mip_opt_out`)
  • ElevenLabs — text-to-speech; account data-use / model-improvement settings are disabled so content is not used to train their models

We do not route Google Workspace API data through AI model aggregators or multi-model gateways. We do not operate self-hosted offline copies of third-party foundation models for this product.

Data protection for sensitive data

We protect personal and Google user data using industry-standard controls, including:

  • Encryption in transit (TLS) and encryption at rest
  • Multi-tenant isolation so one customer's data is not accessible to another
  • Access controls limiting staff and systems access to what is needed to operate and support the service
  • Secure storage of OAuth credentials (including Google refresh tokens) per tenant
  • Preferential processing and storage in the UK and EU (including EU-region AI endpoints where used)

Data residency & security

Your data is stored within the UK and EU. We use industry-standard encryption and security measures to protect your information.

Retention and deletion of Google user data

Google Calendar OAuth tokens are retained only while your Google Calendar connection remains active. When you disconnect Google Calendar in the dashboard, we revoke the Google token where supported and delete the stored credentials from our systems.

Calendar event data retrieved or written to fulfil a booking is processed for that purpose. Booking and call records associated with your account (which may include details derived from calendar availability or booked events, such as appointment times) are retained according to your account retention settings — by default 90 days — unless a longer period is required for legal, security, or dispute-resolution reasons.

You may request deletion of Google user data and other personal data we hold by emailing hello@linekeeper.ai. We will delete or anonymise the data unless we are legally required to retain it. Closing your account also ends ongoing processing for service delivery; residual backups are purged on a rolling schedule.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction or deletion of your data
  • Withdraw consent at any time
  • Lodge a complaint with the ICO

Legal basis for processing

We process your data based on your consent (for example where you connect Google Calendar or submit an enquiry), performance of our contract with you to provide the service, and our legitimate interest in operating, securing, and improving the service.

Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page.
